Microsoft Planner is Microsoft's app for managing tasks and projects. Teams put tasks on shared boards, track them in grid, schedule or timeline views, and work on them inside Microsoft Teams. Basic Planner is included in Microsoft 365 plans, and premium features start at $10.00 per user per month with Planner Plan 1.
Who is Microsoft Planner for?
Planner suits teams that already use Microsoft 365 and want task management without adding another vendor. Basic Planner covers shared task lists and Kanban boards for a team or campaign. Planner Plan 1 adds what you need for structured projects, such as dependencies, sprints and a Gantt timeline. Planner and Project Plan 3 is for project managers who need baselines, critical path and resource assignments.
Microsoft offers ready-made templates for marketing teams, to run campaigns from concept to evaluation, and for sales teams, to manage deals together.
What are Microsoft Planner's main features?
Boards, lists and views
Each task can hold an assignee, start and due dates, priority, progress, a checklist, labels and files. Every user gets Grid, Board, Schedule and Charts views. Plan 1 adds Timeline (Gantt), People and Goals views, and Plan 3 adds an Assignments view for effort per person.
Premium plans for real projects
With Plan 1 you can create premium plans with sub-tasks, task dependencies, backlogs and sprints, milestones and goals. Colleagues with only basic Planner can still edit tasks in these plans, but cannot open the premium views. Plan 3 adds portfolios, baselines, critical path, lead and lag between tasks, task history and the Project desktop app.
All your tasks in one place
My Day and My Tasks bring together your to-do lists and the tasks assigned to you from plans, meeting notes and Microsoft Loop. Planner tasks also show in the Outlook calendar and in Microsoft To Do.
Teams and Microsoft 365 integration
Planner runs as an app inside Microsoft Teams, where you can manage a plan next to its files and chat. It works with SharePoint and Power Automate, and developers can use the Planner API in Microsoft Graph. Planner is also available as a mobile app for iOS and Android.
Planner Agent
With a Microsoft 365 Copilot licence, the Planner Agent can turn a goal into a task list, take on simple routine tasks and write status reports from plan progress.

When should you choose an alternative?
- You want a work management tool that does not depend on Microsoft 365. Look at Asana or monday.com.
- You only need simple Kanban boards and do not use Microsoft 365. Compare Trello.
- You run client projects and need time tracking and billing. Look at Teamwork.
